  1. Accessing the Application
    1. Using an internet browser (i.e. Edge or Chrome), go to www.office.com and sign in using your county email address and password.
    1. Once logged in, click on the upper-left Office menu:

 

               

 

    1. Click on Explore all your Apps

 

           

 

    1. Click on All Apps:

 

    1. Scroll down to the screen under the Other Apps section and click on XMFax

              

 

 

 

 

    1. You will now be navigated here, please enter your County username and password and then click on Sign In.

 

               

 

    1. You will now be directed here:

 

 

 

               

 

  1. Preparing a Fax

 

    1. Click on New Fax

 

               

 

 

 

 

    1. Next, enter the information needed for your fax and then click Add

(Please note: if you are sending a fax long distance, you will no longer need an authorization code, simple enter the area code followed by the telephone number)

              

 

 

 

  1. Cover Sheet Options
    1. The following options are available for cover sheet purposes:
      1. Default cover sheet – Populates information from the fields filled out in addition to the fields located on your profile    (click this icon to check your information and customize if necessary).

 

The picture below shows how XMFax captures the information from the fields in the Cover Sheet area and your Profile.

 

      1. Customized cover sheet – if you wish to upload your department’s customized cover sheet, please select None from the drop-down menu (see below) and make sure your department’s cover sheet is first on the attached documentation that you will be uploading for faxing (see section 4). Also, your cover sheet should have all fields entered manually.

 

 

 

                      

 

 

 

 

  1. Attachments
    1. To add attachments, click here:

              
 

    1. From the dialog box, please select the file you wish to add as an attachment and then click Open.

 

               
 

    1. You should be able to see your attachment listed on the Attachments section.

 

               

 

 

  1. Sending the Fax
    1. After successfully uploading your attachment, feel free to preview your recently uploaded documentation.

 

 

 

               
 

    1. Below an example of a preview using a customized cover sheet. At this point you may either click Back to make additional changes or click Submit and your fax will be on its way.

               

 

  1. Fax Outbound History

There are two ways to check if your fax was sent successfully:
 

  1. Using the Outbound history tab on the XMFax portal

 

  1. Via Outlook as you should also receive an email in the appropriate shared mailbox similar to this:


 

  1. FAQs
    1. Do I need to be connected to the County VPN to use XMFax via Office.com?

No.

 

    1. How come I don’t see any faxes on the Inbound history tab if I have been receiving faxes on the shared mailbox?

Incoming faxes are delivered to a shared mailbox and not directly to the user’s account. Therefore, the Inbound history tab will not have record of incoming faxes.

 

    1. What if a fax is stuck in the Outgoing queue tab for a long time?

Select and delete the transaction in question and try sending it again. If issue persist, please report it to [email protected].

 

    1. What is the process to add a new employee to the shared mailbox where the faxes come in?

Please have your department head or supervisor submit a security form requesting the appropriate access.
