How do I share a calendar?

The following steps will show you how to log into Outlook with the service account and how to share a Calendar. At the end, there are additional steps to show you how to toggle between both accounts for convenience.

 

   1. Go to Office.com, if you are signed in then please select the "Sign In with a different account" option

 

       

 

If you were already signed in, click the "Back" button to add another account

 

       

 

   Select "Use another account"

 

       

 

   2. Enter the service account username and password to sign into Office.com. You will then be presented with Office.com. Click on Outlook.

 

       

 

   3. From Outlook, select to view calendars by clicking the calendar icon on the left.

 

       

 

   Here, you can view all the calendars below.

 

       

 

   4. For this example, we will be sharing Adam Loving's Calendar. Right click the ellipses next to the calendar and select "Sharing and Permissions".

 

       

 

   5. You will see a box. Enter the user you want to share the calendar with.  In this example, we use Jerald Brady.

 

       

 

   6. Outlook will ask which permissions to give it. The default "Can View All Details" is okay.  Under no circumstances should users be allowed to modify Calendar Events. Click "Share".

 

       

 

   7. You have shared the calendar with the user. You can add as many individuals as you need.  The user will still need to do some configuration on their end.

 

       

 

   8. The user will receive an email similar to the one below letting them know that a calendar was shared with them. They need to make sure to click the "Accept" button on the top left in order to view the calendar in their outlook.

 

       

 

   9. Once a user has accepted, they can now see that calendar in their "Shared Calendars" section in Outlook.  They can click the checkbox next to it to toggle hiding and viewing the calendar events.

 

       

 

The calendar was successfully shared. 

 

 

Below are steps to switch between your profile and the public defender service account for convenience.

 

 

   1. Go back to Office.com and select "Sign in with a different account".

 

       

 

   2. Select your work account.

 

       

 

   3. Once you are back in Office.com, you should be able to view the pdcal service account in the sign in drop down on the right. You can click on that to toggle between the service account and your account. If you do not see the service account, choose "Sign In with a different account" and follow the stops from the top of this question.
